Track how your organization uses IntelliRepo with the usage dashboard. Monitor queries, storage, and costs.


Accessing Usage Analytics

  1. Go to Settings
  2. Click Usage

Only Admins and Owners can view usage analytics.


Key Metrics

Queries This Month

Total chat and search requests made this billing cycle.

  • Includes web UI, API, Slack, and widget queries
  • Resets on your billing date
  • Shows progress toward your plan limit

Documents

Total documents uploaded across all collections.

  • Includes all statuses (processing, completed, failed)
  • Counts toward your plan's document limit

Storage Used

Total space consumed by your documents.

  • Original files stored in the cloud
  • Counts toward your plan's storage limit
  • Measured in GB

Team Size

Current number of users in your organization.

  • Includes all roles (Owners, Admins, Members, Viewers)
  • Counts toward your plan's user limit

Overage

  • Additional queries: $0.05 each
  • Service continues without interruption
  • Overages appear on your next invoice

  • You can continue uploading
  • Billed at the end of the cycle

  • Cannot add more users without upgrading
  • Contact sales for Enterprise custom limits

Each query uses AI resources:

Reducing Usage

If you're approaching limits:

Reduce Query Volume

  • Consolidate similar questions
  • Use search instead of chat for simple lookups (slightly lower cost)
  • Educate users on efficient questioning

Reduce Storage

  • Delete outdated documents
  • Remove duplicate files
  • Compress documents before uploading (where quality permits)

Optimize Documents

  • Smaller, focused documents index more efficiently
  • Remove unnecessary pages or sections
  • Use text-based PDFs instead of scanned images

Usage by Collection

Currently, usage is tracked at the organization level. Collection-level analytics are planned for a future release.

To estimate collection usage:

  • Check document counts per collection
  • Review audit logs for activity patterns

Exporting Usage Data

To export usage data for reporting:

  1. Go to Settings > Usage
  2. Click Export (if available)
  3. Download as CSV

For detailed usage reports, contact support.


Billing Period

Usage resets on your billing date:

  • Monthly plans: Resets each month on signup anniversary
  • Annual plans: Resets each month (annual discount, monthly limits)

Check your billing page for your specific reset date.


FAQ

Do failed document uploads count?

Failed documents don't count toward your document limit but may temporarily use storage until cleaned up.

Does re-uploading count as a new document?

Yes, deleting and re-uploading counts as a new document upload.

Are API test calls charged?

Yes, all API calls count toward your query limit, including testing.

Can I see individual user usage?

Currently, usage is organization-wide. User-level analytics are planned.
